Fish4Pets provides a service to companies and individuals that require fish-based pet food therefore we recognise the importance and the value of your information. This notice will explain what personal data we would collect, how we would use it and for what purposes.

What information we collect when you register and why?

We may collect the following information from you:

  • Your name
  • Company Name
  • Telephone Number
  • Email Address
  • Enquiry type (Cat, Dog or General)
  • Information as to what your requirements are (within the message section)
  • Your voice recording (of your telephone call)

Should you visit our premises, we will require the following:

  • Your signature
  • Your photo image(s)
  • Car Registration
  • Paper copy maybe provided once you have completed the signing in process. 

As you proceed further with your request / order, we will require the following:

  • Business Address (or alternative delivery address)
  • Contact name and email address of the person(s) within the accounts department
  • Purchase Order (if applicable)
  • Payment details – Visa, Mastercard or Paypal (encrypted system)

Should you create your own login account or sign up to our Puppy or/and our Breeders Club then further information will be required:

  • Information regarding your Cat or/and Dog
  • Breeders Registration
  • Breeders – for Cross breed dogs weblink
  • Dog’s name
  • Number of pups in a litter
  • Type of Dog
  • Confirmation that you have read our Breeder’s Terms and Conditions (Animal Health & Welfare Act 1984 / Section 10)
  • Password will be required for security

For all contacts registered in the Breeders Club will receive a New Welcome Home Pack with our details. So, the new owner of the puppy has the opportunity to register and purchase puppy food from us once they have registered the litter.

Signing up to receive Newsletters will only require your email address. Also, should you visit our exhibition stands we may require your information to process your order or to enter our competition.

The ‘Chat to Us’ option on our website will require your name (email and Postcode is optional).

Fish4Pets has a strong social media presence, so you have the option to follow us/ link to us. Our social media accounts are:

Fish4Pets allows you to leave reviews which can be seen on our website, but it is optional as to whether you would like to share your name and your postal area.

You have the right to object to how we process your personal information, and you have the right to be forgotten. You also have the right to access, correct, sometimes delete, and restrict the personal information we use. In additional, you have a right to complain to us and to ICO (Information Commissioner’s Office) should you feel that we have not dealt with your query fairly.

What we do with the information we have

We require this information to understand your needs and provide you with a better service, and for the following reasons:

  • Internal recording keeping
  • Process your order(s) efficiently
  • Training purposes
  • Health & Safety purposes when you visit our offices
  • Respond to your Feedback review (if required)
  • Delivery service (we would use your preferred address)
  • Use the information to improve our services and products
  • Send (periodically) promotional emails about our new products, special offers or other information we feel we have legitimate business reason to do so.

However, if your information is required for legal reasons then we have a duty to comply with the UK Law as required.

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, please be aware that we do not have any control over that website. Therefore, we are not responsible for the protection and privacy of any information which you may provide whilst visiting such sites and such sites are not governed by this Privacy Notice. Where possible you will be notified. All our business suppliers will have a contract with Fish4Pets, should they wish to work with us for any period.

Fish4Pets welcomes customer feedback so we would encourage our customers to leave reviews on Reviews.io. Which is our third-party company that collates your reviews on our behalf to use internally and to use on our external platforms.

Your information will be store for a long as you continue to use over services, should you no longer require our services then it will be deleted after 7 years. HMRC will require us to keep the financial information for that period on the condition the information has not been use in court / or as part of any investigations.

Stage 1

Information will be deleted within 6 months

· Enquiry only information that may consist of Name, Number, or email only whereby No purchase has been made.

· Visited our premises only once within a 3-month period

Stage 2

Information that will be stored for longer

· Once a purchase has been made and a customer order number has been allocated to the customer as part of our company financial audit.

· Breeder membership has been setup specifically for the contact. Fish4Dogs reserve the right to terminate the membership of a breeder at their discretion and without prior notice. Inactive if the account becomes inactive for a consecutive period of 6 months.

· When a customer creates an online trading account as they have the intention to purchase our goods on a regular basis.

· Companies that Fish4Pets supply on a regularly basis will have an account setup, so invoices and delivery note are created systematically. Therefore, the information will be subject to HMRC and VAT.

The information we have legitimately allows us to process your order in a timely manner and to answer any additional questions/ queries that you may have.

How we store your information

Fish4Pets encrypted storage system is in place to ensure all information is fully protected. We take the necessary steps to ensure the security of the information we hold is audited at specific times of the year.

All information is stored in the UK with no requirement for us to transfer your information outside of the UK.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
